This Privacy Policy explains how AirCare Systems BC (“AirCare”, “we”, “us”, or “our”) collects, uses, and protects information in connection with our website and our internal business software, including the AirCare integration that connects to QuickBooks Online (“the Application”).
1. Who we are

2. Scope of the Application
The Application is a private, internal tool used only by authorized AirCare staff. It is not offered to the public. Its sole purpose is to help AirCare prepare and record customer estimates and invoices by connecting our internal records to our QuickBooks Online company file.
3. Information we collect
- Customer and job information we already hold in the ordinary course of business — names, business names, service addresses, email addresses, phone numbers, and details of the work performed or quoted.
- QuickBooks Online data accessed through Intuit’s authorized API — customers, items/services, estimates, and invoices — solely to create and reconcile AirCare’s own accounting records.
- Website information such as basic analytics and any details you voluntarily submit through our contact or quote-request forms.
4. How we use information
- To prepare, send, and record customer estimates and invoices.
- To keep AirCare’s accounting and customer records accurate and up to date.
- To respond to inquiries and provide our services.
We do not sell personal information, and we do not use QuickBooks Online data for advertising or for any purpose other than operating AirCare’s business.
5. How we share information
We share information only with service providers that help us operate — including Intuit (QuickBooks Online) for accounting, and our customer-relationship and automation platforms — and only as needed to deliver our services. These providers are bound by their own privacy and security obligations. We may also disclose information where required by law.
6. Data security
Access to the Application and to QuickBooks Online is restricted to authorized AirCare personnel and protected by industry-standard authentication. Connections to QuickBooks Online use Intuit’s secure OAuth 2.0 authorization; AirCare does not store QuickBooks login passwords.
7. Data retention
We retain customer and accounting records for as long as needed to provide our services and to meet legal, tax, and accounting obligations, after which the information is securely deleted or anonymized.
8. Your rights
Subject to applicable law, you may request access to, correction of, or deletion of the personal information we hold about you by contacting info@aircaresystemsbc.ca.
9. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be posted on this page with a revised effective date.
